Who We Are
The Regen Practice is an independent physiotherapy partnership providing physiotherapy services in the United Kingdom.
We are the Data Controller for the personal data we process and are registered with the Information Commissioner’s Office (ICO).
All physiotherapy services are delivered by Rebecca Noy and Jennifer Pinkstone, who are:
Registered Physiotherapists with the Health and Care Professions Council (HCPC)
Members of the Chartered Society of Physiotherapy (CSP)
Registered with the Pelvic, Obstetric and Gynaecological Physiotherapy (POGP) network

What Personal Data We Collect

Contact details (name, date of birth, address, phone/email)
GP name/address, NHS or hospital numbers
Physiotherapy consultation notes, including for virtual appointments
Referral letters and clinic letters
GP or consultant details
Payment records (invoices and payment status — card details are not stored)

Virtual (Remote) Appointments
Virtual consultations are delivered via a secure video platform.
Clinical notes from virtual consultations are stored securely in Cliniko in line with GDPR.
You are responsible for participating from a private location to maintain confidentiality.
Technical issues during virtual sessions will not result in disclosure of your personal data.
If an appointment cannot proceed due to unforeseen technical issues outside your control, it may be rescheduled at no additional cost. Disruptions caused by issues within your control may be subject to the standard cancellation policy.

Ensure only relevant information is saved in your physiotherapy record
Identify and store referral letters, clinic letters, and investigation reports from other health professionals
Manage appointments and communicate with you (in-person or virtual)

Administer online booking securely

How Long We Keep Your Data
Physiotherapy notes:
Adults: 8 years after last appointment
Children: until age 25
Pregnancy-related records: 25 years
Personal data on our contact list: until you ask to be removed

Request a copy of the data we hold about you, free of charge
Request that we rectify or complete information if it is inaccurate or incomplete
Request restriction of processing in certain circumstances

Clinical notes cannot usually be deleted due to UK regulatory requirements.
